On-Site Workstation Swap & Field Validation

๐Ÿ”„ On-Site Workstation Swap & Field Validation

This guide outlines the process for returning on-site to the client location and performing the final phase of workstation deployment: replacing the old systems with the newly staged and prepared machines. It includes testing of all attached peripherals and confirming application functionality in production.

๐Ÿšš Step 1: Arrive On-Site and Begin Workstation Swaps

  • Ensure your deployment checklist, workstation map, and assigned device list are accessible
  • Coordinate with client personnel to confirm safe swap windows and workstation locations

โฑ๏ธ Target maximum swap time: 30 minutes per workstation

Tasks per Workstation:

  • Locate and shut down the old system
  • Disconnect peripherals, noting any unique hardware or port layouts
  • Remove the old unit and set aside for collection or decommissioning
  • Install the new workstation in the same physical location
  • Reconnect all peripherals and power up the system

๐Ÿ–จ๏ธ Step 2: Reconnect and Validate Peripheral Hardware

Once the replacement is complete:

  • Confirm detection and function of:
    • Monitors (multi-display setup if applicable)
    • Printers, scanners, label printers
    • Smart card or badge readers
    • Specialized input devices (e.g., barcode guns, tablets)

๐Ÿ› ๏ธ Use Windows Device Manager and the manufacturer software to validate driver and device health.

๐Ÿงช Step 3: Final Application Testing (With Peripherals)

Now that all hardware is attached:

  • Log in as the target user or a support test account
  • Launch and operate all line-of-business (LOB) applications
  • Perform mock workflows to ensure:
    • Apps function with attached peripherals
    • Input/output paths are accurate (e.g., scan-to-folder, print-to-label)
    • Any middleware for hardware integration is installed and working

๐Ÿ“‹ Follow client-specific test scripts or checklists if provided. If none exist, use known sample/test data.

โœ… Completion Checklist

  • Workstation installed at correct user location
  • All peripherals reconnected and functional
  • Applications tested and integrated with connected hardware
  • Deployment logged as complete in project tracking system

Once all systems are verified, notify the project lead or client contact that the workstation is now fully deployed and production-ready.
